what is Cegkapu?
The company gate ( “Cégkapu” in Hungarian) is a web portal where it is possible to access the official mail that the various Hungarian authorities send to companies. It is a step towards the digitalization of all administration in Hungary.
The opening of the company gate is a mandatory step to open a company in Hungary.
Traditionally, it is your company seat where authorities expect to find you when they send information about taxation or request data about your company operation, to be able to guarantee a punctual delivery of administrative mail to the designated person without delays.
Many company owners have started using the services of a virtual office provider. This means that the company seat is registered at the address of a provider who has competent staff on site, such as a consulting firm. In this way, company owners can be assured that their company remains compliant with regulations and their mail is always forwarded to the right person at the right time. The concept of virtual office is also useful in case of transfer of the administrative office, thus not having to change the registered address as the virtual one will always remain the same.
Which is the difference between “CÉGKAPU” and “ÜGYFÉLKAPU”?
The “Ügyfélkapu” is the personal account, it is an electronic storage space aimed at private individuals who are residents or citizens of Hungary, where people can find all their information concerning their taxes or health updates. To register a company at the company gate it’s mandatory to have access to the “client gate” but if you are not a resident or a citizen, you can give an authorization to someone who is.
The person registering the company at the company gate should be one of the following people :
- The managing director,
- The owner,
- The company’s lawyer,
- The company’s accountant, whether they are employed by the company or external providers..
Creating a new, separate email address for the purpose of receiving official emails from the authorities through the company gate is a useful tool for a company. In this way official letters will not get lost among other correspondence. Also, letters arriving to this address can be forwarded to your accountant – or any other interested party.
Is company gate registration compulsory?
Yes, it is. It is mandatory to register the firm at the company gate within 8 days after its registration. If you fail to do so, you risk missing official messages from the Hungarian authorities. You might also incur fines for not acting in time on the messages you missed and for not having the registration at the company gate.
How does ITL Group handle this?
The Managing Director authorizes the ITL Group, specified Alessandro Farina, in process of the opening and registration of Cégkapu by proxy of the company. In this case the Company will handle all official communication, arriving on the electronic portal, to select and forward them to the competent person or department. The registration of our Office will be done by a signed authorization that has to be enclosed in original at the moment of the Cégkapu’s opening and registration.
